Office Administrator - Vanderbijlpark


 

Main Purpose of the Job

  • Managing the day-to-day office functions such as, petty cash allocations, refreshments, stationary etc.;

  • Researching and preparing the monthly PropStats reports for the office on behalf of the branch manager;
  • Assisting the branch manager with client queries ensuring that the staff provide optimal service in line with the Pam Golding Properties corporate image, through prompt resolution of all agent and client related issues including, regular feedback, progress reporting and prompt attention to property enquiries;
  • General Admin tasks including reception duty;
  • Assisting agents with their admin tasks;

Key Responsibilities

Sales Administration Functions:

  • Sales Administration (Conveyancing Administration) – ensuring that Sales are captured in Alchemy on a daily basis (including OTP, listing and mandate with supporting documents);
  • Monitor and administer all incoming leads and referrals, ensuring that they are distributed to the appropriate agent and appropriately actioned;
  • Liaise with attorneys, seller and buyer regarding OTP, deposits, bond quotation, inspections and any other information deemed necessary;
  • Prepare all documents to attorney’s necessary to complete conveyancing process;
  • Receiving and assessing the compliance of all sale agreements;
  • Manage bond details (if a bond is obtained) and any amendments to offers or cancellations;
  • Ensure that banking details are verified;
  • Management of outstanding sales and reporting on these monthly, including the expected monthly banking detailing the sales due for registration every month;

Marketing functions will include the following:

  • Assist the agents to create drops using templates and managing the process until complete;
  • Checking marketing collateral for correctness;
  • Providing marketing material and collateral through the use of various marketing templates;
  • Support Agents with printing of collateral;
  • Support Agents with Showhouses by preparing a show house pack on the Friday before show day, which includes print drops, WhatsApp Status - invites and thank you collateral;
  • Responsible for providing marketing collateral “just listed” & “sold” for WhatsApp and social media posts;

Education & Experience

  • Matric;
  • 3 – 5 years previous experience in a secretarial or administrative position in real estate would be a distinct advantage;
  • Previous marketing experience or experience in a similar role a definite plus;
  • Alchemy experience would be a distinct advantage.

Knowledge & Skills Required

  • Must be tech savvy and computer literate – Microsoft Office and Excel;
  • Knowledge of traditional marketing tools would be a bonus.
